What is an Outlook alternative for businesses?
Nexoria is a work platform with a knowledge store, document search and the AI assistant Nex. The optional add-on Nexoria Mail connects existing mailboxes to Nex via SMTP and IMAP. It combines everyday email work with draft replies, summaries and translations. Relevant attachments can be selectively added to company knowledge; you check the scope and approvals in the pilot.
Switching your email client is different from switching your mailbox provider. When you connect an existing account, its hosting, contract terms and retention rules remain part of your planning. This page helps you decide on the client; for the full scope of the platform, see the Platform.

Microsoft Outlook vs. Nexoria Mail compared
The Microsoft column distinguishes between Outlook for Windows and Exchange Online features. Use the Nexoria column as a checklist for a test with your own accounts.
| Criterion | Outlook and Exchange Online | Nexoria Mail |
|---|---|---|
| Existing accounts | Microsoft documents Microsoft, Gmail and IMAP accounts, among others, for Outlook. Supported features differ by Outlook version. [1] | Connect existing mailboxes via SMTP and IMAP; check the provider's sign-in method and policies beforehand. |
| Mailbox and client | Compare account type, Outlook version and Exchange services separately. [1] | Optional client in the Mail and Meet add-on; plan for the existing mailbox provider and the client separately. |
| Teamwork | Exchange Online supports shared mailboxes. Permissions for access and sending are granted separately. [2] | Test requirements for shared mailboxes, sender permissions and delegation individually. |
| Rooms and equipment | Exchange Online offers resource mailboxes with booking settings. [3] | Test the booking workflows and resource management you need as a separate requirement in the pilot. |
| Calendar | Features and delegation depend on the version and account configuration. [1] | Integrated calendar; test the required connection and migration in the pilot. |
| Extensions and workflows | Classic and new Outlook differ in areas including extensibility and offline features. [1] | Check existing rules, add-ins and archiving workflows for any need for adjustment. |
| AI | Check the Microsoft licence and the specific Outlook feature you need. | According to the product description, Nex supports draft replies, summaries and translations. Check the results for subject-matter accuracy. |
What matters when switching a mailbox
Record existing items and permissions
Separate the mailbox itself from local archives, contacts, calendars, rules and extensions. Record who is allowed to read, send on behalf of others or edit shared addresses. Plan these components as separate steps alongside the SMTP/IMAP connection.
Test Nex directly in the mailbox
Test typical draft replies, longer threads and messages in other languages. Check completeness, tone and subject-matter accuracy. Only add attachments intended for this purpose to the body of knowledge, and check the access permissions. Define the desired scope of the transfer and the approvals granted for it.
The product details are on Nexoria Mail. What matters for your choice is whether the workflows you need function with your accounts, not just the number of AI features.
Clarify data flows before the switch
Distinguish between the existing mailbox provider, processing by Nexoria Mail, files transferred to the knowledge store and AI requests. According to the operator, the platform provides file storage and search in Germany. For emails, take into account the connected mailbox provider and additional processing steps; for AI answers, relevant content may be transmitted to the Mistral AI API. Technical error monitoring runs via Sentry, based in the USA, without access to document content. For the optional VoiceBot, Telnyx (headquarters USA, EU branch Ireland) provides the telephone connection.
If Gmail or Outlook connections are enabled, Google or Microsoft respectively must still be taken into account as providers involved. Clarify specifically which data is transferred or cached, how long it is retained and which contracts and settings apply. For a provider review, use the processing register, the Answers for your evaluation and the information on Security and privacy.
Other service providers and optional integrations
The Nexoria platform optionally enables external AI integrations with ChatGPT, Claude, Gemini and Langdock via your own provider account, a Nexoria MCP and admin approval. Check the connections actually enabled and the mail, AI and technical services involved for your deployment.
Add-on to the Nexoria core product
Mail and Meet complement the core of knowledge store, document search and Nex. The core product remains usable without this add-on. You can plan the rollout of Mail separately from your Office environment.
If you also want to switch your entire working environment, see Microsoft 365 alternative: switching the whole suite. You should assess meeting requirements separately from the mailbox decision. For this, there is the comparison Teams alternative.
How much does Nexoria Mail cost?
In addition to the core product, Mail and Meet together cost €19 per user per month on Base or €9 per user per month on Pro, in each case excluding VAT. The core product costs €29 per user per month on Base or €299 per month for five users on Pro; additional Pro users cost €20 per month each, in each case excluding VAT.
Also take into account the costs of your existing mailbox provider, the rollout and any Microsoft licences you may still need. The distinction between Microsoft pricing and licences, including Copilot, is explained in the comparison of Microsoft Copilot and Nex. Compare equivalent services and contract durations.

- Record Exchange delegations, shared mailboxes and resource bookings as specific requirements.
- Test business-critical rules, extensions and local archives, and plan any necessary adjustments before the switch.
- Use your current account management and Outlook version as the reference for acceptance.
When you should take a closer look at Nexoria Mail
- You want to connect your existing mailboxes with Nex and your company knowledge.
- Draft replies, summaries and translations help with your actual tasks.
- Your mailbox provider allows the required connection, and a pilot confirms the permissions and workflows you need.
Frequently asked questions about the Outlook alternative
Can I keep using my existing mailbox?
Nexoria Mail connects existing mailboxes via SMTP and IMAP. Check with your administrator which sign-in method and permissions your provider allows. Plan and test the migration of local Outlook archives, contacts, rules and calendars separately.
Where are my emails stored with Nexoria Mail?
The storage location depends on the connected mailbox and the other services involved. Consider messages, attachments and appointments each along their own data flow. Before deployment, have the data flows for your mailbox, possible copies, AI processing and enabled integrations confirmed to you.
What AI features does Nexoria Mail offer?
The product description lists draft replies, summaries and translations with Nex. Check the results with suitable sample messages and review AI output before use. For AI answers, relevant content may be transmitted to the Mistral AI API. Take this data flow into account in addition to file storage and the mailbox provider.
Is a calendar included?
Nexoria Mail offers an integrated calendar. Test the calendar accounts, invitations and permissions you need in the pilot. Include Outlook calendars, Exchange delegations and resource bookings as separate checkpoints in your migration plan.
Is Nexoria Mail part of the core product?
Mail and Meet are a joint optional add-on. It costs €19 per user per month on Base or €9 on Pro, in each case excluding VAT and in addition to the Nexoria core product. The core product remains usable without Mail and Meet.
Is Outlook GDPR-compliant and what does switching clients change?
Check the mailbox provider, permissions, data transfers, retention, AI use and contract documents for your specific deployment. Assess the features and data flows used for your company. The operator of your connected mailbox remains part of the review.
How do I start a limited mailbox test?
Choose a suitable test account with sample data. Check receiving, sending, attachments, folders, search, calendar and the team permissions you need. Document discrepancies and a way back before you switch further accounts. Plan the switchover date, necessary manual steps and parallel operation based on the test results.
