How it works

How it works

Existing inboxes are connected via SMTP and IMAP, and multiple accounts can be combined in one view. Messages are handled in FlowHub, the platform's communication area. For Gmail and Outlook, there is also an integration via the respective providers' interfaces, authorised via OAuth.

Nex works in the same window: draft replies in your company's tone, summaries of long threads with key points and open questions, translation that preserves the layout, and checks of incoming messages for signs of phishing, such as discrepancies in the reply path, similarly spelled sender domains or errors in sender verification. Attachments can be saved directly to the knowledge base.

Nexoria Mail in detail

Everything you want to know.

Nexoria Mail is an optional add-on. It connects existing inboxes to Nex via SMTP and IMAP and manages them in FlowHub. Nex drafts replies, summarises long threads, translates messages and checks incoming mail for signs of phishing. Relevant threads and attachments extend the company knowledge of the core product. Without this add-on, Nexoria remains fully usable.

Definition

What is Nexoria Mail?

Nexoria Mail connects inboxes to Nex via SMTP and IMAP and automates email workflows; relevant threads extend company knowledge.

Nexoria Mail is the email part of the Mail and Meet add-on. It is not part of the core product but is booked additionally. Functionally, it fulfils two tasks: it takes the place of the email client, and it brings the content of correspondence into the company knowledge that Nex and the Document search already use.

This order matters for understanding the platform. Without Mail, Nexoria remains a complete solution for cloud storage and AI-supported company knowledge. Mail adds a further source of knowledge; it is not a prerequisite.

Problem

The problem

In many companies, the reliable information is not in the document but in the message next to it: the commitment, the price change, the agreement on the delivery date. This body of content is separated by person, not by topic. Anyone looking for the agreement first has to know who made it.

At the same time, the inbox is where the pressure to get things done is highest: long threads, messages in foreign languages and phishing attempts in the same inbox as the customer enquiry. Anyone who keeps knowledge and processing separate does the work twice.

Nexoria solution

What this means for company knowledge

Anything that goes into the knowledge base is then subject to the same rules as any other document. It is stored in a Workspace, is indexed and can be found via document search with a source reference. An agreement from a message therefore appears in the same search as the contract it relates to.

The relationship in brief

Nexoria Mail is an additional source of company knowledge, not a second, separate system. Together with Nexoria Meet the add-on covers the two channels in which knowledge is created without anyone writing it down.

With a connection via SMTP and IMAP, the further data flow depends on the chosen mailbox provider. Files, the knowledge index and semantic search run on dedicated servers in Germany. Nex uses Mistral AI to generate answers. Other services and enabled integrations have their own data flows; the providers involved and processing locations are listed in the security overview and the processing register.

Evidence

In Nexoria's verified Mistral organisation, the use of new API interactions for model training is disabled (account check of 26 September 2026). This setting applies to new interactions processed there. For your own optionally connected AI accounts, the settings of the respective account apply.

FAQ

Frequently asked questions about Nexoria Mail

Is Nexoria Mail included in the core product?

No. Nexoria Mail is an optional add-on and is booked together with Nexoria Meet. The core product, consisting of Nexoria Drive, Nex, document search and the Office apps, works fully without this add-on.

How much does Nexoria Mail cost?

Together, Mail and Meet cost €19 on the Base plan and €9 on the Pro plan per user per month. All prices are net and apply in addition to the core product.

Which providers are involved if I connect Gmail or Outlook?

When the integration is active, Google LLC is involved for Gmail and Microsoft Corp. for Outlook, in each case on the basis of standard contractual clauses and a data processing agreement. Both are listed by name as processors in the processing register, with the note that they are only involved when the integration is active.

What data flows with this integration?

The processing register lists email metadata, encrypted OAuth tokens and message previews. The connection is based on performance of a contract under Art. 6(1)(b) GDPR and consent via OAuth under Art. 6(1)(a). Data is deleted as soon as the user disconnects, and at the latest 30 days after the end of the contract.

Do all emails become company knowledge?

No. Relevant threads extend your company knowledge, and attachments can be saved to the knowledge base selectively. What goes there remains the users' decision and is then subject to the permissions of the respective workspace.

What else is part of the add-on besides email?

FlowHub for communication, project management, Flowboard and appointment booking, as well as Nexoria Meet with video conferencing and live transcription with Mistral.
