First look for a reliable reference
Collect the invoice, possible order and delivery note in a single case. Record the supplier, invoice number, date of receipt and a reference to the original document. If the order number is missing, the delivery address, delivery date or item description can, for example, provide pointers. Document these as clues. A similar order is not yet a confirmed match.
At the same time, decide who will resolve the uncertainty. Purchasing often knows the order, while project management can assess how the material was actually used. One person handles the query; a named deputy takes over in case of absence. This turns the unclear document into a task that can be worked on.
This is where automation supports the preparation
Nexoria makes uploaded scans searchable through text recognition and makes it possible to create tasks from the AI chat. For the missing order number, this lets you make the document accessible and create a clarification task with a person and a deadline. A connection to your accounting software or ERP is assessed on a project basis. These components support the preparation; your team is responsible for the subject-matter matching and approval.
Word the clarification task so that nobody has to piece the whole case together again. Use this template and add where the information was found. The response deadline is an internal working deadline and must fit your existing processing workflow.
Case: Invoice [number] from [supplier]
Open: Which order or project does the delivery belong to?
Available documents: [invoice], [possible order], [delivery note]
Clue to the suspected match: [matching detail]
Responsible and deputy: [name], [name]
Response by: [date]
Expected outcome: confirm the reference or state the discrepancy and where it was found
Define the next step for each status
Agree on a small number of statuses that everyone involved understands in the same way. The following table is a working proposal for your discussions. Adapt the roles to your business. Complete documents mean that the specialist review can begin; they do not replace its result.
| Status | Next step | Responsibility |
|---|---|---|
| Complete | Pass on the invoice, confirmed order reference and proof of delivery or service together for specialist review | The person who can assess the delivery or service |
| Reference unclear | Raise a specific query with the clues already found and record the answer in the case | Purchasing or named project leads |
| Discrepancy | Mark differing line items and document the clarification before the case is passed on | The responsible specialists together with purchasing or the supplier contact |
A query becomes a traceable decision
A fictitious process from a trade business: an invoice states the material and delivery address, but no order number. The office has two similar orders. The employee adds both matches and asks the site management which project it relates to. For now, she records the reference as unclear.
Site management confirms Project North but notices an invoiced item that has not yet been delivered. The case moves to Discrepancy. Purchasing takes over the clarification and records the response in the same case. Only then does the responsible person check the goods or services; internal approval follows your agreed procedure. Accounting can see which decision has already been made and what it is based on.
What determines the effort and cost of getting started
The number of your invoices alone is not enough for an effort estimate. It also matters through how many channels they arrive, how often the reference is missing and how reliably the related documents can be found. Added to this are the number of review steps, deputy arrangements and desired handovers to existing software.
A limited trial with selected documents can be described more precisely than a complete changeover. For this, create a complete sample case, a case without an order number and a case with a discrepancy. Use suitable sample data. For each case, decide in advance who should make the decision and which document supports the result.
This makes it possible to check specifically, in a conversation, which preparation can be supported and what setup would be needed. Then compare how many internal queries are still required and whether a deputy understands the processing status. These observations give you a basis for deciding on the next step.
