Quick overview
Nextcloud offers an open-source foundation for files and collaboration in a self-operated or managed system. Nexoria combines Drive, document search, Nex and Office for working with your existing company knowledge. Start with the operating model you want and your team's document workflow.
Nexoria Base costs €29 per user per month; Pro costs €299 per month with five users included. The Team costs for 5, 10 and 25 users show the platform costs alongside allowances, add-ons and setup, net, plus VAT.
Choosing the right operating model
- Self-hosting preferred: Evaluate Nextcloud with your IT team. Plan for updates, backups, permission management and setting up the apps you want. Local AI needs a suitable model and hardware configuration.
- Handing over operation: Compare managed Nextcloud offers based on the included apps, AI services, updates, backups and support services. A hosting contract alone does not describe the full range of features.
- Public administration: openDesk bundles several applications, including Nextcloud for files. Check the overall package and the operating model offered against your procurement requirements.
- Using company knowledge with AI: Evaluate Nexoria as a platform for Drive, document search, Nex and Workspaces. Clarify the operational services on the basis of the specific offer; for Enterprise, the pricing page states an operating model by arrangement.
What is the alternative to Nextcloud for company knowledge with AI?
Nexoria is a European work platform on which the content from Nexoria Drive is indexed and the AI assistant Nex answers questions about it: semantically, with source citations and with access control through workspaces. Nextcloud is open-source software for files and collaboration that you operate yourself or have operated for you, with a broad range of features and a choice of infrastructure.
Sources and text updated on
On the starting position for data protection: Nextcloud GmbH is based in Stuttgart, the server is licensed under the GNU AGPLv3, and self-hosting allows you to choose your own infrastructure. Whether data leaves it also depends on apps and connected services. A vendor announcement dated 18 April 2018 describes the selection of Nextcloud by the ITZBund; it is a historical reference, not a current user count. Nexoria Systems UG (haftungsbeschränkt) is based in Kelkheim. Files, the knowledge index and semantic search are located on servers in Germany. For AI answers, Nex transmits relevant content to the Mistral AI API. Other services and activated integrations must be considered separately. The differences lie in the operating model and in AI as standard.
The first decision concerns operational responsibility: which tasks does your team take on, and which does a service provider? Then check features, AI integration, permissions and running costs.
There is also a second difference that gets lost in feature lists: with Nexoria, the chat on top of the indexed company knowledge is the main interface and is set up from the base package onwards. With Nextcloud, according to the vendor documentation, the Assistant is the interface, while the actual AI comes from backend apps that have to be installed separately, for which you provide computing power or connect an external provider. The offerings differ in product architecture and setup. Hosting offers may already include setup; compare the actual scope of services.
Nextcloud vs. Nexoria
| Aspect | Nextcloud | Nexoria |
|---|---|---|
| What you get | Open-source software under the GNU AGPLv3, Community and Enterprise on the same codebase, Enterprise as a preconfigured and hardened build with a longer lifecycle | European work platform with Drive, document search, Nex and Workspaces |
| Operation | Self-hosting on a maintained server stack (64-bit Linux, Apache or nginx, PHP, MariaDB or PostgreSQL) or operation via a hosting provider such as Hetzner Storage Share or IONOS | Files, knowledge index and semantic search in Germany; for Enterprise, the pricing page states an operating model by arrangement |
| Hosting offers | The free sign-up brokers partner accounts. Compare other hosting offers and Nextcloud One based on their specific scope of services | Nexoria Systems UG is the provider of the platform. Services involved and contractual roles must be checked separately |
| AI as standard | The Assistant is the interface; the actual AI is provided by backend apps that have to be installed separately. Check the scope of support and plan allocation against the specific offer | Nex on top of indexed company knowledge is the main interface and included from the base package onwards |
| Hardware for local AI | llm2 documentation: NVIDIA GPU with at least 8 GB VRAM and at least 12 GB system RAM; in CPU mode at least 12 GB RAM and 10 to 20 cores recommended. How Nextcloud and Nexoria differ
Compare both platforms based on your everyday work: managing files, collaborating as a team and using existing knowledge. Nexoria connects file storage with search and AI answers on shared content. The following seven criteria help you choose the right offering.
1. Operating model: the central axis
Self-hosting Nextcloud requires a maintained server stack with an operating system, web server, PHP and database. The retrieved manual recommends a 64-bit environment and lists, among other things, Apache or nginx and MariaDB or PostgreSQL. It is marked as Nextcloud 36 (upcoming). Therefore, choose software versions based on the manual for the Nextcloud version you actually use. Updates, backups, hardening and scaling are the responsibility of you or your service provider.
Nexoria combines Drive, document search, Nex and Workspaces. Files, the knowledge index and semantic search are located in Germany. For Enterprise, the pricing page states an operating model by arrangement. You clarify the specific scope of services and operational responsibility on the basis of the offer.
2. AI as standard or AI as a kit
The Nextcloud Assistant can do a lot: summarise, rephrase, change the tone, proofread, convert speech to text, answer questions about your own data and perform agentic actions such as calendar entries or reading and sending messages. Compare these features based on the setup planned for your team.
The difference lies in the architecture. The admin documentation describes the Assistant as the interface and separate apps for AI processing. For text processing, translation, speech recognition, image generation and Context Chat, you therefore install and configure a separate backend app for each. Check the supported range of features in the specific Enterprise offer; app availability and the support contract should be considered separately.
With Nexoria, Nex is the main interface on top of the indexed company knowledge and part of the core product. Semantic document search with source citations is part of the base package and does not consume any AI tokens.
3. Hardware for local AI
For local AI, Nextcloud describes specific hardware requirements. According to the documentation, the app for local language models (llm2) requires, in GPU mode, an NVIDIA GPU with at least 8 GB VRAM and at least 12 GB system RAM; in pure CPU mode, at least 12 GB RAM with 10 to 20 cores recommended. In GPU mode, Context Chat requires at least 2 GB VRAM and 8 GB RAM; in CPU mode, at least 12 GB RAM and a CPU with AVX and AVX2. For NVIDIA GPUs, the documentation retrieved on 29 September 2026 specifies CUDA 12.4 or later for llm2 and 12.8 or later for Context Chat. Context Chat requires at least Nextcloud 32. The retrieved version was marked as the manual for Nextcloud 36 (upcoming); check the documentation for the version that matches your installation. The requirements of the text generation provider come on top of this. The documentation expressly recommends a dedicated machine for llm2, because by default the app uses all cores.
Nextcloud's own answer to this is AI as a service via European partners; those named include IONOS, OVHcloud, plusserver and Deutsche Telekom. This is also a clean solution, but it shifts model operation to another party.
With Nexoria, document search and Nex are part of the platform. Files and the knowledge index are stored on servers in Germany; document embeddings and semantic search run there with models that Nexoria operates itself. By default, Nex's answers are generated by Mistral AI; ChatGPT (OpenAI), Claude (Anthropic), Gemini (Google) and Langdock can optionally be connected.
4. Access permissions and AI answers
Nextcloud documents the limits of Context Chat openly and verifiably, and that is a strength, not a weakness. A dedicated section of the admin documentation headed File access control rules not supported contains the sentence: Context Chat does not follow these rules. This refers to the rules of the add-on app files_accesscontrol. The documentation itself describes the consequence: users who have been denied access to a document via files_accesscontrol can still reach its content via Context Chat, provided the document is visible to them in the Files app.
For a fair assessment: this concerns exactly this one rules app, not Nextcloud's normal sharing and permissions logic. Known Limitations also documents: no support for files over 100 MB, no password-protected PDFs, external storage via files_external may work less well than local storage, and multi-tenant installations are not supported.
With Nexoria, you organise knowledge areas and their sharing permissions through workspaces. This assignment forms the basis for document search and Nex. You can verify this directly in a test: put a document in a workspace that a test person is not a member of, and have them ask specifically for it.
5. How many contracting parties you end up with
With Nextcloud, assign software, hosting, support and AI processing to the companies actually involved. One provider can bundle several services; separate contracts are not automatically required for each role. Check in the specific offer who is responsible for operation, support and the integrated AI services.
With Nexoria, a distinction must be made between the platform provider and other services involved. Nex transmits relevant content to the Mistral AI API. Optional external AI is connected with your own customer account via a Nexoria MCP integration. Check the respective contractual role and the settings of the chosen providers against your agreements.
6. Calculating software, operation and AI together
Nextcloud sells support and lifecycle per user per year, Talk is billed separately, and infrastructure, storage, operation and AI computing power come on top. Nexoria states monthly prices with apps as well as plan-dependent storage and token allowances. For an appropriate cost comparison, add the operational services, infrastructure and AI usage of your specific setup to the list prices. Together with your team, we can use this to draw up an overall calculation for the planned deployment.
7. Origin of the Office applications
Purely a statement of origin, not a judgement of quality. Nextcloud Office is now called Nextcloud Office powered by Euro-Office. According to the Nextcloud FAQ, Euro-Office is based on the ONLYOFFICE Open Source AGPL codebase, which has been extensively reviewed, cleaned up and refactored. According to the same source, Euro-Office was released on 9 June 2026 and is available as an Office option from Nextcloud Hub 26 Spring onwards. Alternatively, Collabora Online, which according to Nextcloud is built on LibreOffice technology, and Thinkfree Office remain available as engines. Nexoria Office with Doc, Calc and Slides is based on LibreOffice. Which engine fits better is decided by your files, not by the origin of the code. Test this with your most complex documents, not with a blank page.
More than files: the whole workplace
Nexoria combines Doc, Calc and Slides, documents and presentations in the Nex AI chat, tasks, automations and workspaces. Nexoria Mail and Meet are available as an add-on. Use your files and workflows to check which components you actually need.
More about Nexoria Office · Documents and presentations in the Nex AI chat · More about automations · More about Workspaces · More about NexAssessing Nextcloud against your requirements
- You need access to the code, auditability and an exit option. According to the FAQ, Nextcloud and Nextcloud Enterprise are licensed under the GNU AGPLv3. According to the vendor, the Enterprise build is derived from the same 100% open-source codebase on GitHub, preconfigured, optimised and hardened, with additional quality assurance and a longer lifecycle. The code is auditable and can be forked if need be.
- You want to control the infrastructure yourself. To meet a requirement of no external content transfer, AI, Office backends and other activated integrations must also be set up accordingly.
- You have an IT team and do not want to pay licence costs. The Community version can be used with no minimum number of users and no licence costs. If you bear operational responsibility anyway, you pay nothing for the software.
- You are in the public sector or in a tender process. On 18 April 2018, Nextcloud reported on its selection by the ITZBund following a public tender at the end of 2017 and a deployment for around 300,000 users. This is a historical vendor reference, not proof of a current number of users or of the performance of your installation. The current openDesk product page lists Nextcloud as the file component of the public administration suite.
- You want to pursue your own model strategy. Nextcloud gives you the choice between local open-source models, European providers such as IONOS, OVHcloud, plusserver and Deutsche Telekom, or large commercial providers. According to the documentation, the llm2 app comes with Qwen 3.5 9B, Gemma 4 E4B and OLMo 3 7B Instruct, runs exclusively open-source models and does so entirely on premises. The Ethical AI Rating publicly assesses AI components against three criteria on four levels from green to red. In the rating table of the admin documentation, Nextcloud also rates its own integrations critically, for example the OpenAI and LocalAI integration via the OpenAI API as red. The rating refers to the respective integration and is not a general judgement on the quality of the model.
- You need a broad range of features and your own extensions. Hundreds of apps in the official App Store, custom apps can be developed, federation between independent servers including federated chats in Talk since Hub 8, clients for Windows, macOS, Linux, iOS and Android. Check the compatibility of the apps you need with the server version you use.
- Your procurement requires minimum sizes, references spanning several years or a partner network. With Nextcloud, you have access to a partner network of hosting providers and IT service providers, and if need be the code remains usable even without the vendor. You will find the information on Nexoria as a company under About us.
- You want to choose the services involved deliberately. When self-hosting, you can configure hosting and activated apps. Also check their dependencies and external data transfers.
Data flow: where your data is stored
With Nexoria, files, the knowledge index and semantic search are located in Germany. For answer generation, Nex transmits relevant content to the Mistral AI API. Other services and activated integrations must be considered separately. Technical error monitoring runs via Sentry, based in the USA, without access to document content. For the optional VoiceBot, Telnyx (headquarters USA, EU branch Ireland) provides the telephone connection.
ChatGPT (OpenAI), Claude (Anthropic), Gemini (Google) and Langdock can optionally be connected. The connection is made with your own customer account via a Nexoria MCP integration. With such an integration, shared content is transmitted to the respective provider. Its terms, processing locations and settings are decisive. Nexoria also works without these optional integrations.
Information on the services involved can be found in the security overview and in the processing register. To check against your requirements, use the Evaluator FAQ.
When Nexoria is right for you
- You are looking for AI and document search in one platform. Test Nex, Drive and Workspaces with a shared test collection.
- You want to ask questions directly of your company knowledge. If your people need to ask questions of existing documents and expect answers with source citations, this is the main interface at Nexoria and is set up from the base package onwards.
- You are a small or medium-sized team. Nexoria is available from one user. The Nextcloud Enterprise subscription starts at 100 users; for smaller teams there is the Community version, hosting offers and the Nextcloud One service linked on the pricing page.
- You want a predictable monthly bill. The plans state the included apps, storage and AI tokens. Additional storage, Mail and Meet are charged separately.
Excerpt from the customer testimonial
“The chatbot and maturity assessment platform were live in under a week.”
How much does Nexoria cost compared with Nextcloud?
Nexoria costs €29 per user per month with 10 GB of storage per company and 3 million AI tokens per user. The package for 5 users costs €299 per month with 20 GB of storage per company and 5 million AI tokens per user, and each additional user €20 per month. Additional storage above the included allowance costs €1.00 per GB per month, measured in source bytes. As a combined add-on, Mail and Meet cost €19 on the Base plan and €9 on the Pro plan per user per month. All Nexoria prices stated are exclusive of VAT. You will find all terms on our pricing page. Nextcloud can be used in the Community version without licence costs and with no minimum number of users; you then bear the infrastructure and operation. According to the pricing page, the Enterprise subscription starts at 100 users. List prices per user per year from 100 users: Standard €71.29, Premium €104.99, Ultimate €204.75. From 200 users: €53.17, €81.99 and €183.75 respectively. Nextcloud Talk is billed separately and also starts at 100 users, Standard €42 per user per year, from 250 users €31.50.Compare software, support, infrastructure, storage and AI usage separately and take the agreed operational services into account. A reliable comparison emerges with your infrastructure, staff and hardware costs. We are happy to work through this calculation with you.
Frequently asked questions
What should be checked for data protection when using Nextcloud?
For your specific installation, check the operator, hosting, activated apps, AI providers, access permissions, deletion periods and the applicable agreements. Open source or a German server location alone does not answer these questions. When self-hosting, the technical configuration is your responsibility; with a hosting offer, its scope of services is decisive. The same evaluation questions also apply when selecting Nexoria.
Doesn't Nextcloud have AI?
Yes, it does. According to the vendor's website, the Nextcloud Assistant can summarise, rephrase, change the tone, proofread, convert speech to text, answer questions about your own data and carry out agentic actions, such as creating calendar entries or reading and sending messages. The difference lies not in the capabilities but in the product architecture. The admin documentation describes additional backend apps for the AI features. The Assistant is therefore the interface; the actual AI comes from backend apps that have to be installed separately, for which you provide computing power or connect an external provider. With Nexoria, the chat on top of the indexed company knowledge is the main interface and is set up from the base package onwards.
What does Nextcloud really cost?
The software itself costs nothing: Nextcloud Server is licensed under the GNU AGPLv3, and the Community version can be used without licence costs and with no minimum number of users. What you pay for is the Enterprise subscription, that is, support, hardening and lifecycle. According to the pricing page, subscriptions start at 100 users. List prices per user per year from 100 users: Standard €71.29, Premium €104.99, Ultimate €204.75. From 200 users, this falls to €53.17, €81.99 and €183.75 respectively. Nextcloud Talk is billed separately and also starts at 100 users, Standard €42 per user per year, from 250 users €31.50. The Nextcloud list prices stated are net, plus VAT. On top of this come infrastructure, storage, operation and, if you want to run AI locally, the appropriate hardware. The total costs depend on your number of users, infrastructure and chosen operating model. Compare these items based on your specific setup.
I don't want to self-host. How does Nexoria differ from managed Nextcloud?
Managed Nextcloud can take server administration and updates off your hands. Hetzner describes this for Storage Share at its Falkenstein location; additional apps you install yourself are not automatically covered by support there. IONOS describes managed Nextcloud in German data centres and advertises offers with AI Model Hub. Check for each offer which AI features, setup and usage allowances are included. With Nexoria, Nex and document search are part of the core product. Also compare permissions in AI answers, operational services and contractual roles based on your specific offer.
What happens to access permissions when the AI answers from documents?
This is the question you should ask every provider, including us. Nextcloud documents this point with exemplary openness: for Context Chat, that is, answers from your own documents, the admin documentation contains a dedicated section headed File access control rules not supported. It states that Context Chat does not follow the rules of the add-on app files_accesscontrol, and that users can therefore use Context Chat to reach a document blocked by those rules, provided it is visible to them in the Files app. This expressly concerns this rules app, not Nextcloud's normal sharing and permissions logic. Further limits are documented under Known Limitations: files over 100 MB are not supported, nor are password-protected PDFs, external storage via files_external may work less well than local storage, and multi-tenant installations are not supported. With Nexoria, you organise knowledge areas and their sharing permissions through workspaces. Test document search and Nex with the roles intended for your deployment. You can verify this directly in a test: put a document in a workspace that a test person is not a member of, and have them ask specifically for it.
At how many users does each solution pay off?
According to the pricing page, the Nextcloud Enterprise subscription starts at 100 users. Important for a fair picture: this minimum applies to the paid subscription, not to the Community version, which can be used with no minimum number of users and no licence costs. For smaller teams, the Community version or hosting offers are an option; the pricing page also refers to Nextcloud One. Nexoria is available from one user for €29 per month, the package for 5 users costs €299 per month, and each additional user €20. Which solution pays off at which size depends on your infrastructure and staff costs. We are happy to work through this calculation with you.
Which is better: Nextcloud or Nexoria?
What matters is your task. Nextcloud is a good fit if you want to configure an open-source platform for files and collaboration yourself or have it operated by a service provider. Nexoria is an option if you want to use Drive, document search and AI answers on shared company knowledge together. Compare both with the same documents, access roles and search queries. Include operation, setup and running costs.
When is Nexoria not a suitable Nextcloud alternative?
If your procurement requires a fully open-source platform, a fork of the source code or fully self-controlled model operation, first check the corresponding Nextcloud operating options. The Nexoria pricing page does not contain a general commitment to operation on your own hardware. For Nex AI answers, relevant content is transmitted to the Mistral AI API. You should compare the Nextcloud apps you need and individual workflows one by one before switching.
When does Nextcloud not fit our requirements?
Self-hosting is not a good fit if nobody can take long-term responsibility for updates, backups, permissions and incidents. A hosting offer can take on some of these tasks; when choosing one, clarify the app and AI support included. If your team mainly needs answers from company documents, compare the setup effort and the results with a platform such as Nexoria. This does not imply a general gap in functionality.
