The answer starts with the record of the agreement
Open the job and search for the service in question. Check whether the document describes a request, a quote or a confirmed change. If the confirmation is established, the colleague can explain the documented status. If it is missing, she still has useful information: which item still needs to be clarified and who is taking care of it.
A fictitious example: at an electrical contracting business, the quote for a kitchen renovation is in the project folder. A follow-up message mentions the socket, but not the agreed price. The customer remembers a phone call. This is exactly where it helps to bring the conversation note and the message together. A guess from memory would be of little use to the office when the next query comes in.
Search for known content instead of file names
Perhaps the team remembers the additional socket, while the quote refers to an extension of the electrical installation. In that case, asking about the content is more helpful than guessing a file name. Phrase the job and the information you are looking for together: Which change was discussed for the kitchen for job H-104?
Nexoria searches the indexed and shared documents of a workspace by keyword and meaning. Questions in your own words lead to results with sources. This gives the office access to the passage that serves as evidence; you still check against the document whether the agreement was confirmed.
You can use this job note straight away
The following partially completed template belongs exclusively to the fictitious example. It shows an open case so that a stand-in does not accidentally treat the customer's request as a confirmed additional service. Transfer the fields to your existing job files and replace the sample details.
Job: H-104 · Kitchen renovation · Property Musterstraße 8
Request: additional socket wanted on the kitchen island
Conversation: 6 October 2026 · customer and management
Documented status: additional service requested · price confirmation open
Records: quote A-104 item 8 · message dated 6 October
Next step: management clarifies scope of work and price
Feedback from: [name] · Feedback by: [date and time]
Close-out: [confirmation or different decision with record]
A note should enable the next person to act
For the stand-in, what matters most is what she may say and what she still needs to check. A note like “Customer called” leaves both open. The completed version, by contrast, names the service, its status and the next contact person. This allows the colleague to continue the conversation without having the entire job explained to her.
Add the decision where the open question already is. If a confirmation arrives later, refer directly to that message. An additional note in a different folder would again create two places that the office has to piece together. If details are contradictory, the item remains open until the responsible person has clarified it.
When a filing rule is enough and when search helps
You do not have to introduce new software for every query. What matters is why the answer fails. This distinction prevents you from procuring a search solution for a problem that is actually caused by missing information.
| Situation in the office | Sensible first step |
|---|---|
| Few documents and a clear job number | A shared storage location and clear file names may be enough |
| Agreement was only passed on verbally | Document the content and status and assign them to the job |
| Many documents with different names | Test content-based search on typical customer questions |
| Two documents contradict each other | Responsible person clarifies the statement and adds the record |
Test the benefit with a real stand-in
Take an ongoing job where queries regularly end up with the boss. Have a colleague answer three questions using the documents: What was offered? What was changed afterwards? What is still open? The trial shows whether your office can already reach the documented status on its own.
For each question, note which detail was missing or where the search got stuck. After the next addition, check the same path again. A meaningful success is initially very concrete: the stand-in finds the right record and reliably recognises when she needs to check back.
For a demo, your typical customer question and a description of your current filing system are enough as a starting point. This way, you discuss a tangible work process and can then judge whether the search suits your business.
