Prepare vehicle handovers at the car dealership, even without the responsible salesperson

A fictitious Friday morning at the car dealership: Ms Berger arrives for her vehicle handover. The salesperson is off sick. She asks whether the extra set of wheels she ordered is ready. The stand-in finds a quote and a note with the word Friday. But what has been confirmed: the purchase, the fitting or the collection? A good handover checklist answers these questions before anyone promises the customer anything. Here you will find a copyable note and a process you can use to prepare your stand-in for this.

Three selection questions for the handover documents

Start with the specific handover. The stand-in must be able to see which vehicle is meant, which services have been agreed and which of them have been completed. Use the existing order number and your internal vehicle number as a common reference. The customer's name alone is not enough once other vehicles or older cases come into play.

Link a document to the handover note if it answers at least one of the following questions. This creates a manageable case in which the decisive records can be identified.

  • Does it document an agreement? This includes, for example, the confirmed order and a later confirmed change to the equipment.
  • Does it document a work status? For example, the workshop's feedback that the set of wheels has been fitted. An order for fitting does not yet document completion.
  • Does it determine the next step? For example, an open delivery date with a named person responsible, or the confirmed collection time.

Check the answer directly against its record

For a collection like this, Nexoria offers separate workspaces. You assign selected documents from Nexoria Drive to the responsible team. Nex answers questions from the indexed collection and names the documents used. This way, the question about the set of wheels can be checked against its record; the workspace permissions limit access.

What matters is the documentation behind it. A conversation note you find may contain a request, and a later message the commitment. So open the source and check the vehicle reference, date and content. If fitting has only been requested, it remains open. The next step is then to check with the person responsible before the customer receives a binding answer.

For a first trial, one selected case is enough. Whether documents from your dealership software can be transferred automatically and how changes are kept up to date will be checked separately.

You can use this handover note straight away

Use the following template in your existing filing system. The details filled in are entirely fictitious. The note shows the status on the Wednesday before the planned Friday handover. Every commitment gets a record, every open item a person responsible and a next review date. The status should refer to the specific service: a confirmed purchase does not automatically mean a confirmed fitting appointment.

Case and vehicle: A 1042 / F 218

Customer question: Is the additionally ordered set of wheels ready for the handover?

Confirmed agreement: set of wheels included in the order. Record: order confirmation A 1042 dated 5 October.

Customer request: fitting by Friday. Record: conversation note dated 6 October.

Open item: fitting appointment not yet confirmed. Responsible: Ms Becker in Service. Feedback by Thursday, 15:00.

Proof of completion: none recorded yet. After fitting, link the workshop's feedback.

Information at handover: purchase confirmed. Fitting remains open until feedback is received.

Final check: add date, time and name.

The confirmation changes exactly one open item

If the workshop then confirms a fitting appointment for Thursday, add the confirmed appointment details with the associated record. The appointment item is thereby settled; the fitting completed item remains open until the corresponding feedback is received. This separation prevents a plan from turning into a finished service as it is passed on.

Designate in advance who maintains the note and who takes over during absences. Have new confirmations come together in the existing case. If details contradict each other, document the open clarification and the person responsible. For this, the stand-in needs a clear working basis, not the entire history from the salesperson's memory.

Find the gaps with a real stand-in

Have a colleague who does not know the case prepare the handover. She should show three things: the record for the purchase of the set of wheels, the status of the fitting and the person to contact for an open query. Note where she had to search or ask. This leads to concrete improvements to the note and the filing system.

Then test a similar case with a different vehicle. Does the stand-in find the right record and distinguish between request, confirmation and completion? If so, you can apply the template to other handovers. Check together with Service and Sales which information both teams actually need.
